Policy on Addressing Honor Code and DEI Violations

At Legynds Apotheosis, maintaining a safe, inclusive, and respectful environment is central to our community values. To ensure that all participants adhere to our Honor Code and Diversity, Accessibility, and Inclusion (DAI) statements, the following tiered response policy will be enacted for handling violations.

General Principles

  1. Transparency: All participants will receive clear communication regarding their actions and any disciplinary measures.
  2. Fairness: Investigations and decisions will be based on documented evidence, observations, and witness accounts.
  3. Education: Wherever possible, the goal is to educate and correct behavior rather than punish.
  4. Accountability: Repeated or egregious violations will result in escalated consequences to protect the community.

Disclaimer: The Board of Directors reserves the right to bypass any step in the tiered response process if circumstances warrant immediate action to protect the safety and well-being of the community.


Tiered Response System

Tier 1: Verbal Warning (Minor Infractions)

  • When Issued: For first-time, minor violations of the Honor Code or DAI statements (e.g., accidentally unsafe combat behavior, minor discourtesies, unintentional rule-breaking).
  • Procedure:
    1. A staff member or marshal will privately discuss the incident with the player.
    2. The player will be reminded of the specific part of the Honor Code or DAI statement they violated.
    3. The player will be asked to acknowledge and agree to modify their behavior.
  • Documentation: A brief, internal record of the warning will be kept by staff for tracking purposes.

Tier 2: Written Warning (Moderate Infractions or Repeated Minor Violations)

  • When Issued: For moderate violations (e.g., persistent unsafe combat, disrespectful behavior, boundary pushing) or a second offense following a verbal warning.
  • Procedure:
    1. The player will receive a formal, written notification from the Board of Directors or an appointed staff member.
    2. The notification will detail:
      • The specific behavior that violated the Honor Code or DAI statement.
      • The corrective action expected from the player.
      • A clear explanation of consequences for further violations.
    3. The player may be invited to meet with a staff member to discuss the issue and ask questions.
  • Documentation: A copy of the written warning will be saved in the player’s record.

Tier 3: Temporary Suspension (Severe or Repeated Violations)

  • When Issued: For serious breaches (e.g., aggressive or intimidating behavior, intentional boundary violations, multiple warnings without improvement).
  • Procedure:
    1. The Board of Directors will notify the player in writing of their temporary suspension, including:
      • The length of the suspension.
      • A summary of the specific violations that led to the decision.
      • Recommendations for reflection or corrective actions before returning to the game.
    2. During the suspension period, the player will not be allowed to attend any events or participate in community activities (in-person or online).
  • Documentation: The suspension will be recorded in the player’s permanent record.

Tier 4: Permanent Ban (Egregious or Unresolved Issues)

  • When Issued: For egregious violations (e.g., harassment, physical harm, intentional intimidation, or any behavior creating an irreparably unsafe environment) or unresolved patterns of problematic behavior.
  • Procedure:
    1. The Board of Directors will notify the player in writing that they have been permanently banned from participating in Legynds Apotheosis.
    2. The notice will include:
      • A summary of the specific violations.
      • An explanation of how their behavior compromised the community’s safety and trust.
      • A statement that the decision is final.
    3. If applicable, the Board will notify other relevant organizations or LARP communities if asked for references.
  • Documentation: A permanent ban will be recorded in the player’s file and securely archived.

Confidentiality and Privacy

All investigations and records related to Honor Code or DAI violations will be handled with strict confidentiality. Information will only be shared with relevant staff and the player involved.
